Every Document Required for Sainik School Admission

A certificate in the wrong format is the same as no certificate at all. This is the full list — for the form, for the medical, and for the day you sit across from the verification officer.

Of all the ways a Sainik School admission can fall apart, the cruellest is paperwork. The child scores well, the seat is allotted — and then a caste certificate turns out to be in the wrong format, or the name on the birth certificate does not match the school record, and the seat goes to the next candidate on the list.

The documents required for Sainik School admission fall into three separate stages, and each has its own trap. This guide covers all three, in the order you will meet them.

Stage 1 — Documents for the Application Form

At the application stage most items are uploads, not originals. The specifications in the official information bulletin are exact, and the portal enforces them.

  • Recent passport-size photograph — plain background, within the specified file size and dimensions
  • Child's signature, scanned separately from the photograph
  • Parent's or guardian's signature, scanned separately
  • Date of birth proof — birth certificate issued by the competent authority
  • Category certificate (SC / ST / OBC-NCL), if claiming reservation
  • Defence service or ex-servicemen certificate, if claiming the defence ward quota
  • Residence or domicile proof for the home-state claim
  • School certificate confirming Class V or Class VIII

The photograph is the single most common failure point. Get it taken at a studio, keep the digital file, and check the preview after uploading. A blurred, cropped or wrongly sized photo can render an application incomplete — and unlike a wrong answer on the paper, it costs you the entire attempt.

Stage 2 — Documents for e-Counselling

After the result, qualified candidates register for e-counselling and fill school choices. This stage is mostly online, but keep the following at hand:

  • The application number and login credentials
  • The printed confirmation page from the application stage
  • The result or scorecard download
  • Category and quota certificates, since claims are re-checked before allotment

Stage 3 — Document Verification at the School

This is where originals matter. You will carry a physical file to the allotted school, and an officer will check each document against the claims made in the application.

The name-consistency problem

Read this twice: the child's name must be spelled identically across the birth certificate, school records, Aadhaar and the application form. Kishore Kumar S, S. Kishore Kumar and Kishorekumar S are three different names to a verification officer.

If there is a mismatch, correcting it takes weeks of running between offices. Do it now, while there is no deadline attached.

The OBC-NCL validity problem

Non-creamy-layer certificates carry a validity period. A certificate that was valid when you filled the form in November can be expired by the time verification happens in April. Check the expiry date and renew in advance if it falls close.

Build the File Now — Physically

We ask every enrolled family to keep one physical folder, with two clear sections and a printed index page.

  1. Section A — Identity and age: birth certificate, Aadhaar, photographs
  2. Section B — Claims: category certificate, defence certificate, domicile proof
  3. Plus a photocopy set of everything, kept separately
  4. And a scanned digital copy of everything, stored in two places

When the verification day comes, you hand over a file, not a pile. It sounds trivial. It changes how the appointment goes.

What You Do Not Need

Parents often arrive with far more than required. You do not need:

  • Coaching certificates or attendance records from any institute
  • Extracurricular certificates, sports medals or Olympiad awards — AISSEE selection is strictly by written merit, quota and medical fitness
  • Recommendation letters. There is no mechanism for them, and anyone who claims otherwise is not being straight with you
